e-volve was responsible for expertly delivering 280 ASUS ExpertBook B5 laptops as part of Cumberland City Council’s end-user device refresh program. The deployment provided a cost-effective alternative to Council's existing hardware standard, while meeting its technical requirements and achieving a positive experience for staff.
Challenge
The client, Cumberland City Council, was formed in 2017 following the merger of Auburn and Holroyd Councils, inheriting a diverse range of end-user devices with varying ages, specifications and conditions. To simplify device management and support, Council embarked on a standardisation program, selecting Dell as its preferred end-user hardware supplier and transitioning to a four-year device leasing and refresh model. As part of its next refresh cycle, Council identified a significant increase in the cost of its existing Dell hardware, with pricing approximately $500 higher per device than 18 months earlier. This prompted Council to explore alternative hardware options that could meet its technical requirements while providing greater value. e-volve introduced ASUS as an alternative hardware solution, providing Council with an ASUS ExpertBook B5 for testing and evaluation. Following a successful assessment, the device met Council's technical requirements while offering a significant cost advantage over the equivalent Dell model. e-volve was subsequently engaged to supply 280 ASUS ExpertBook B5 laptops as part of Council's end-user device refresh program.
Approach
CEO David Simpson headed the e-volve executive and business management team, bringing extensive experience in technology procurement, supply chain management and end-user computing programs. e-volve worked closely with Cumberland City Council to introduce an alternative hardware solution that met the Council's technical requirements while providing greater value. The approach focused on validating the ASUS solution, managing procurement and supply chain requirements, and coordinating the delivery of the devices with the Council's established technology processes:
- e-volve engaged with Cumberland City Council to understand its end-user hardware requirements, existing technology environment and device refresh requirements.
- A sample ASUS ExpertBook B5 was provided to the Council for testing and evaluation, enabling its Technology Services team to validate the device against its technical and user requirements before proceeding with the deployment.
- Following successful testing, e-volve coordinated the procurement of 280 ASUS ExpertBook B5 laptops, managing the commercial and supply chain requirements and arranging extended warranty coverage and 280 Everki laptop bags.
- e-volve coordinated the delivery of the devices with Cumberland's Technology Services team. Although the order was placed as a single purchase, stock availability required seven deliveries to complete the deployment, with e-volve managing the logistics to support a smooth rollout.
Solution
e-volve has extensive experience procuring large volumes of technology for specific and national rollouts across Australia. The solution included scoping three device types from different manufacturer’s product options that could be a good fit for the client's entire office workforce.

The device was selected based on its ability to meet the Council's technical requirements while providing improved specifications and significant cost advantages compared with the equivalent Dell model.
Following the successful evaluation and approval of the ASUS device, e-volve managed the procurement of 280 ASUS ExpertBook B5 laptops and 280 Everki laptop bags. e-volve also arranged extended warranty coverage and managed the associated supply chain requirements to support the refresh program. Although the Council's Technology Services team retained responsibility for planning, configuring, deploying and supporting the devices, e-volve coordinated the commercial and logistical aspects of the rollout.
The single order was fulfilled through seven separate deliveries due to product availability, with e-volve managing the delivery schedule and supply chain to ensure the complete fleet was supplied. The project was completed between mid-August and 10 November 2022, with all 280 ASUS ExpertBook B5 laptops supplied as part of the Council's end-user device refresh program.
ASUS's onsite warranty support has also provided prompt and professional assistance, with warranty issues resolved efficiently and minimal involvement required from the Council's Service Desk. e-volve's coordination of procurement, warranty, supply chain and logistics enabled Cumberland City Council to introduce an alternative hardware manufacturer without disrupting its established technology processes. The ASUS devices were well received by staff, with positive feedback on performance.
