Case Study

National Decommission

e-volve expertly delivered a national decommission project of 18,000 assets from 240 cities across regional and remote sites of Australia. The decommissioning project ran for 9 months and formed the foundation of a generational technology and business transformation.

Challenge

Technology transformation was the foundation for the client's accelerated business and innovation platform to pivot more robustly into the future. The transformation can be difficult for large enterprises, where 40% of their sites are remote.

Our client approached e-volve to design, build and execute a decommission, re-purpose and environmentally dispose of over 18,000 servers, switch, router, desktop, laptop, and peripherals from 240 sites across Australia.

The decommission strategy was to dovetail into an after-hours and weekend technology transformation upgrade of these sites, including Network, Data Centre Server, Data Centre Storage, and End User Compute (EUC), run in conjunction with data migration and post-production support and change management program.

Approach

CEO David Simpson headed the e-volve exec and critical business management team. His 20+ years of experience included managing nationwide transformation programs and projects for large enterprises and ASX-listed clients.

e-volve had a unique 4 phase approach that allowed the many moving parts of the program to be databased with all related dependencies, enabling a substitute scenario and resource scheduling with each unavoidable change:

  • Multiple extensive scoping sessions were conducted with the client’s key stakeholders to better understand their requirements, expectations, and budget.
  • Subsequent extensive scoping sessions were conducted with fit-for-purpose partners and e-volve team members to meet the project's goals and client’s expectations.
  • e-volve’s extensive relational and dependency database was set up. Scenario planning was run and presented to the client.
  • A solution presentation was proposed to the client. Three proof of concept (POC) deployments and decommissions were introduced as an Alpha test process before the national rollout.

Solution

e-volve has an extensive network of trusted partners specializing in product decommissioning across Australia. The solution involved designing custom-built cages and loading them with new upgraded equipment.

The cages were then sent out to the site to be unpacked by the e-volve engineers. They then loaded the decommissioned assets into the empty cages and returned to Sydney for e-volve’s assessment and cataloging, i.e., environmental destruction or fit for repurposing.

e-volve coordinated and managed the resourcing, product staging, and freighting to and from the site. They also conducted a financial value assessment of the returned assets with their partners to ensure consistency in the approach, solution, and customer support.

The project took 9 months to complete,  two stagings, warehouses, and decommissioning technology service hubs.

It also included a team of over 200 engineers, three specialist freight companies, a talented group of e-volve execs, strategists, project managers, engineers, procurement, logistics, and operational excellence personnel.

The client advised that e-volve delivered and met budget expectations. They also exceeded customer experience and internal customer and stakeholder expectations.
